101 TUTORS
Privacy Policy
Last updated: 2 November 2026
Who is responsible for your information?
101 Tutors is responsible for the personal information it uses to respond to enquiries and provide tuition. Amrita Brar, our Founder and Centre Director, is your contact for privacy questions. Email admin@101tutors.com or call 07471 253 732.
This notice covers parents, carers, students and website visitors using our in-centre and online tuition services.
Information we collect
- Parent or carer names, telephone numbers, email addresses and the messages you send us.
- Student names, ages or year groups, subjects, learning goals, assessment results, attendance and progress information supplied during enquiries or tuition.
- Booking, enrolment, payment and administrative records needed to manage tuition.
- Relevant learning-support, health or safeguarding information that you provide where needed to support a student safely.
- Website usage and technical information through Google Analytics, and postcode information when you use our centre finder. See our Cookie Policy.
We receive information directly from you, from a parent or carer, and from tutors during lessons and progress reviews. Please share only what is needed. Avoid sending detailed medical or other sensitive information in an initial enquiry; contact us to discuss an appropriate way to share it.
Why we use information and our lawful bases
- Enquiries and bookings: to answer questions and arrange tuition. For parents entering a tuition agreement, this is necessary to take steps at your request before a contract and to perform that contract.
- Teaching and student support: to assess learning needs, plan lessons and provide progress feedback. For student information, we rely on our legitimate interests in delivering effective, safe tuition, balanced against the student’s rights and welfare.
- Administration and security: our legitimate interests in managing schedules, keeping appropriate records, handling queries and protecting our services.
- Legal requirements: to meet applicable accounting, legal and safeguarding obligations where these apply.
- Optional uses: where we rely on consent, such as permission to use an identifiable student photograph, we ask separately and you can withdraw it.
Health and some learning-support information may be special category data. Where we need this information, we require both a lawful basis and an additional legal condition, such as explicit consent, or an applicable safeguarding condition. We explain this when collecting the information.
Website analytics and its current controls are explained separately in the Cookie Policy. Contacting us about tuition does not itself give consent to optional tracking or marketing.
Who receives information?
Information may be shared with tutors who need it to teach and support the student, and providers used to operate our website, communications, online lessons and administration. Depending on how you contact us or receive tuition, these include email services, WhatsApp and Microsoft Teams. Website services include Google Analytics, Postcodes.io and OpenStreetMap.
Relevant information may also be disclosed to professional advisers, authorities or safeguarding services where necessary and lawful. We do not sell parent or student personal information.
Some service providers may process information outside the UK. Where a restricted international transfer is involved, appropriate safeguards are required, such as UK adequacy regulations or approved contractual safeguards. Contact us for details of the providers and safeguards relevant to your information. Third-party services also publish their own privacy notices.
How long information is kept
Retention depends on why the information is needed. Enquiries are kept for as long as needed to answer and follow up your request; student records for as long as needed to provide tuition and resolve related queries; and financial records for applicable accounting and tax requirements. Safeguarding or dispute records may need to be kept longer where justified by legal requirements or the circumstances. Information should then be securely deleted or anonymised. Contact us for the retention criteria applying to a particular record.
Children’s privacy
We use student information to help organise lessons, understand what support is needed and explain progress. We limit access to those who need it. Students can ask us what information we hold about them and request an explanation in language they understand. Parents and carers can contact us on a child’s behalf, subject to the child’s rights and any checks needed.
Your choices and rights
Depending on the circumstances, you can ask to access, correct, delete or restrict the use of your personal information, or receive certain information in a portable format. These rights are not absolute. If we rely on consent, you can withdraw it at any time without affecting earlier lawful use.
You can object to processing based on legitimate interests, and you can object to direct marketing at any time. Email admin@101tutors.com to exercise a right or stop marketing messages. We may need to verify your identity before responding.
If you have concerns, please contact us. You can also complain to the Information Commissioner’s Office (ICO).
